Sales Automation + WhatsApp

Customers stay when a salesperson leaves, because every WhatsApp chat lives on a deal your company owns.

We connect your WhatsApp numbers to Bitrix24, Biky.ai or the system you already pay for, and automate assignment, quotes and follow-ups. Two rules from day one: every chat has one owner, and no chat ends without a next step and a date.

Where it breaks today

  • Each salesperson sells from a personal WhatsApp. When one leaves, the customers leave too.

  • I pay for sales software that nobody updates.

  • Quotes go out as PDFs from someone’s laptop, and I never see them.

  • The same customer shows up three times, with three versions of the phone number.

What we build

  1. WhatsApp connection

Your numbers connected through the official API, Bitrix24 Open Lines, Biky.ai or our WaConsole. Campaigns and many agents per number need the API; a few salespeople with numbers customers already saved can start by QR.

  2. Ownership rule

A chat from an unknown number opens a contact and a lead with one owner, by source, product or load. A chat from a known contact goes to the owner of the open deal.

  3. Next-step rule

No conversation closes without a call, visit or quote on the calendar. The manager gets the list of chats without one every morning.

  4. Quote templates

Quotes generated from the deal with current products and prices, logged, each with its own follow-up task.

  5. Clean import

Contacts and open deals moved from Excel or the old system, with phone numbers normalized to international format so every chat matches the right contact.

  6. Adoption plan

Five required fields or fewer at the first stage, short training per role and a weekly usage review with the manager.

Once it runs

  1. When an unknown number writes

A contact and a lead open, an auto-reply confirms receipt and the owner is set by rule. Nobody has to decide who takes it.

  2. When a salesperson sends a quote

It comes out of the deal with current prices, gets logged and schedules its own follow-up.

  3. 08:30

The manager reads the list of open chats without a next step and gives each one a call or a visit before noon.

  4. When a salesperson leaves the company

Their chats, deals and history stay with the company number. The manager reassigns them in one step.

  5. Friday

The owner sees response time per salesperson and deals won by source, without asking anyone for a spreadsheet.

Sales Automation + WhatsApp: questions

How do I connect WhatsApp to my CRM?

Through the WhatsApp Business Platform, Meta’s official API, or a connector that logs every chat to the contact and the deal. We use Bitrix24 Open Lines, Biky.ai or our own WaConsole, which links existing numbers by QR code. The API suits bots, campaigns and many agents on one number; outside the 24-hour window after the customer’s last message it only sends approved templates, which Meta charges by category and country. QR suits person-to-person selling, never bulk sends.

Should I change CRM or keep the one I have?

Keep it if your team can run the agreed pipeline in it and the cost fits your margin. We recommend a change when the current one cannot connect WhatsApp, cannot hold your products and prices, or costs more per user than the business supports. Bitrix24 is our frequent choice because it bundles pipelines, WhatsApp channels, tasks and telephony in one license.

Why do CRM projects fail, and how do you avoid it?

Most fail on adoption: the software gets installed and salespeople keep selling from their phones. The fix starts with design. Required fields stay few at the first stage, because a field nobody needs is a field nobody fills. Every screen is built around what the salesperson does next, and the system does the logging. Then we review usage weekly with the manager until the habit holds.

Can you move our data from Excel or another system?

Yes. We export contacts, companies and open deals, remove duplicates, convert phone numbers to international format so WhatsApp chats match the right contact, and map old stages to the new pipeline. Closed history comes along when it helps reports or repeat sales. We run a test import first, check it with your team, and only then do the final load.

How much work is it for my team?

In the first weeks, a few sessions to agree on the pipeline, fields and assignment rules, plus training per role. After go-live the work is logging, and we keep it short with templates and automations. Contracts start at six months in three-month blocks. The first block leaves WhatsApp running on every deal; the next ones add automations, AI agents and apps on top.

Works with

  1. AI Agents

Our AI agents answer on WhatsApp and email in seconds, ask your qualifying questions, check stock and prices in your systems and hand over the lead with a written summary. Negotiation and closing stay with people.

  2. AI Automation

We build n8n workflows with AI steps that move data between your sales pipeline, ERP, DMS, WhatsApp and spreadsheets, and we keep them running. Any task your team repeats for the fifth time becomes a workflow.

  3. Revenue Operations

Our Revenue Operations (RevOps) runs all the way to profit. We join marketing, sales and service on one pipeline, put the margin on every deal and help leadership pick the lever for each quarter, so the operation gets there by design and not by chance.

Own every customer chat.

We start with one WhatsApp number and one pipeline, and in the first week you see how many chats had no owner and no next step.
